Sales order entry from customer POs, automated and run for you

We build an AI agent that reads every customer order that lands in your inbox, whether it's a formal purchase order or a two-line email, checks it against your contract pricing and stock, and creates the sales order in your ERP. Then we run it every day under a defined SLA, so your customer service team handles exceptions instead of typing orders.

What is sales order automation with AI agents?

Sales order automation replaces manual order entry: reading customer purchase orders, matching them to your customers and items, checking them and creating sales orders in your ERP.

Predflow does it with an AI agent built inside your ERP and inbox and run by our team. At a US plastics manufacturer on NetSuite, 92% of customer orders now post with no manual touch.

Where order entry time actually goes

Orders arrive by email as PDFs, spreadsheets and plain messages asking for more of a product. Someone reads each one and types it into the ERP, line by line.

Customers use their own product names and part numbers, so every line has to be matched to your item codes by hand.

Each order needs a contract-price check and a stock check before anyone can confirm it.

A wrong item, quantity or price turns into a wrong shipment, a credit note and a disputed invoice.

When volume spikes, orders queue in the inbox, confirmations go out late and customers start chasing your team.

How does the sales order agent work?

STEP 1

Collects every invoice.

It watches your order inbox and picks up each order as it lands: an attached PO, a spreadsheet, or a plain email asking for more stock. Nobody forwards or downloads anything.

STEP 2

Reads them as they are.

It pulls out the customer, items, quantities, prices and requested dates, even when the customer uses their own product names instead of your item codes.

STEP 3

Matches customer and items.

It maps the order to the right customer and item records in your ERP.

STEP 4

Checks price and stock.

It checks every line against the customer's contract pricing and your current stock, the same checks your team runs before confirming an order.

STEP 5

Creates the sales order.

Where everything lines up, it creates the sales order in your ERP with no one involved.

STEP 6

Sends exceptions with the reason.

Where it isn't confident (a new item, a price that doesn't match the contract, a customer it can't place), it routes the order to your team with the reason, for a quick approve or fix. Nothing is posted on a guess.

STEP 7

We run it.

We monitor the agent, work through exceptions with your team and update it when customers change their order formats or you add products. Every action is logged and auditable.

If you want, the agent also prepares payment runs. A person on your team always approves before any payment goes out.

How do you cut the time from delivery to invoice?

Invoice on delivery, with the proof attached. A billing agent reads each carrier's proof of delivery as it arrives, matches it to the sales order in your ERP and sends the invoice with the POD attached as soon as delivery is confirmed. Nobody searches a separate folder or database first.

At the manufacturer above, that cut 8 days from delivery to invoice and freed $40k of working capital.

How do you automate sales order entry from emailed POs into NetSuite?

For manufacturers and distributors on Oracle NetSuite, the agent works inside your NetSuite account and your order inbox. There's no connector app to install and no new screen for your customer service team.

  • Emailed orders become NetSuite sales orders.  Each order is created against the right customer record, items and pricing in NetSuite.

  • Contract pricing and stock checked first.  Every line is checked against the customer's agreed price and available stock before the sales order is created.

  • Low-confidence orders go to a person.  Anything the agent can't match with confidence goes to your team with the reason. At our NetSuite client that's 8% of orders; the other 92% post with no manual touch.

  • Proof of delivery linked to the order. The billing agent links each POD to its sales order in NetSuite and sends the invoice the same day, with the POD attached.

We build the same agent for teams on SAP, Microsoft Dynamics 365 and any other ERP you run.

Sales order automation for UAE distributors and trading companies

For trading, distribution and manufacturing businesses in Dubai, Abu Dhabi and across the Emirates, the agent handles the order formats UAE sales teams deal with every day.

Orders in English and Arabic

The agent reads orders written in English, Arabic or both, whether they come as an attachment, in the body of an email or on WhatsApp.

AED and multi-currency

Orders priced in AED, USD and other currencies are entered in the currency your ERP expects.

Ready for e-invoicing

From your go-live date (1 January 2027 for revenue of AED 50 million or more, 1 July 2027 for the rest), every invoice you send goes out as a structured e-invoice through your Accredited Service Provider, and it's only as clean as the order and customer data behind it. The agent enters each order against the right customer record, including the customer's TRN, so the invoice that follows passes validation. Predflow is not an ASP. We work alongside the one you appoint.

Your ERP

Focus, SAP Business One, SAP S/4HANA, Oracle NetSuite, Microsoft Dynamics 365, Zoho Books, Tally and any other ERP you run. We check which ERP and setup you have, then make the agent work in it.

On-site when you want it

We can map the workflow on-site in Dubai. Our engineering team works from India, 1.5 hours ahead of the UAE, so we share almost the whole UAE working day.

Sales order automation in production

Plastics manufacturer ยท US Midwest ยท Oracle NetSuite

A custom plastics manufacturer in the US Midwest runs order-to-cash on NetSuite. Customers emailed their orders, sometimes as a purchase order but more often as a short message asking for more rolls, and a customer service rep keyed each one into NetSuite, checked stock, looked up contract pricing and confirmed it by hand. Proof of delivery arrived by email or on paper and was scanned into a separate database, so invoices trailed deliveries by days.

We built two agents inside the client's NetSuite and email. The order agent reads every emailed order, matches the customer and items, checks stock and contract pricing, and creates the sales order. 92% of orders now post with no manual touch, the other 8% go to the team with the reason flagged, and the team has 12 hours a week back. The billing agent matches each proof of delivery to its order and sends the invoice with the POD attached as soon as delivery is confirmed. That cut 8 days from delivery to invoice and freed $40k of working capital.

What's the difference between an AI agent and OCR for order processing?

OCR turns a document into text. Someone still has to check it, match it to your items and enter it. An AI agent reads the order, works out what the customer is asking for, matches it to your records, runs your checks and creates the sales order, then sends only the exceptions to your team.
