Use case ยท Order to cash
Order-to-cash automation, built into your ERP and run for you
We build AI agents for the manual steps between a customer's order and cash in your bank: entering orders, invoicing on delivery, following up payments and matching what comes in to what's owed. They work inside your ERP and inbox, and we run them every day under a defined SLA, so your team handles exceptions instead of paperwork.
What is order-to-cash automation with AI agents?
Order-to-cash automation takes the manual work out of each step from customer order to cash received: order entry, invoicing, collections and cash application. Predflow does it with AI agents built into your ERP and run by our team.

Where order-to-cash slows down
Orders arrive by email in every format and are typed into the ERP by hand, so mistakes start at the first step.
Proof of delivery comes back by email or on paper and sits in a separate folder, so invoices go out days after the goods arrive.
Payment reminders go out when someone has time, and overdue invoices get noticed at month-end.
Customers pay several invoices in one transfer, with the remittance advice in a separate email, so someone works out by hand which invoices it covers.
Short payments get written off because nobody has the hours to find out why.
Every day lost between those steps is a day the cash isn't in your account.
Which order-to-cash steps can AI agents take over?
Each step below is an agent of its own. Most teams start with the step where cash waits longest and add the rest later. At every step, anything the agent isn't confident about goes to your team with the reason, nothing is posted on a guess, and a person on your team approves wherever money moves.
STEP 1
Order entry
Customer orders read from email, whether formal purchase orders or two-line messages, checked against contract pricing and stock, and created as sales orders in your ERP. At our NetSuite client, 92% post with no manual touch.
STEP 2
Credit check before release
Each new order checked against the customer's credit limit and overdue balance, with orders over the limit held for your finance team to approve.
STEP 3
Invoice on proof of delivery
Each carrier's proof of delivery read as it arrives, matched to its sales order, and the invoice sent with the POD attached as soon as delivery is confirmed.
STEP 4
Collections follow-up
Reminders sent on your schedule before and after the due date, with the invoice and POD attached. Replies such as a promise to pay or a query are logged against the invoice and passed to the right person.
STEP 5
Cash application
Incoming payments matched to the invoices they settle, using your bank lines and the remittance advices customers email, and the receipt posted in your ERP. Part payments and payments covering several invoices are split across the right ones.
STEP 6
Short payments
Where a customer pays less than the invoice, the agent finds the reason, such as a return, a price difference or a deduction, and prepares the credit note or the claim for your team to approve.
STEP 7
Bank and payment-gateway reconciliation
Bank lines and gateway payouts matched to your ledger every day, with breaks flagged the same day.
How do you cut the time from delivery to invoice?
Send the invoice the day the goods arrive, with the proof of delivery attached. The billing agent reads each carrier's POD as it arrives, matches it to the sales order in your ERP, updates the order and sends the invoice straight away. Your billing team stops searching a separate folder before every invoice, and customers stop asking for proof.
At a US plastics manufacturer on NetSuite, that cut 8 days from delivery to invoice, started the receivables clock the day goods arrived and freed $40k of working capital.
Order-to-cash automation for UAE businesses
For trading, distribution and manufacturing businesses in Dubai, Abu Dhabi and across the Emirates, the agents handle what UAE receivables teams deal with every day.
Orders and invoices in English and Arabic
The agents read customer orders, delivery notes and remittance advices in English, Arabic or both.
Ready for e-invoicing
From your go-live date (1 January 2027 for revenue of AED 50 million or more, 1 July 2027 for the rest), every invoice you send to a business or government customer goes out as a structured e-invoice through your Accredited Service Provider. The agent makes sure each invoice carries the right customer record, TRN and line details before it reaches your ASP, so it passes validation. Predflow is not an ASP. We work alongside the one you appoint.
Post-dated cheques
PDCs logged against the invoices they cover, deposit dates tracked and bounced cheques flagged the same day.
AED and multi-currency
Invoices and receipts in AED, USD and other currencies matched in the currency your ERP books.
Your ERP
Focus, SAP Business One, SAP S/4HANA, Oracle NetSuite, Microsoft Dynamics 365, Zoho Books, Tally and any other ERP you run. We check which ERP and setup you have, then make the agents work in it.
On-site when you want it
We can map the workflow on-site in Dubai. Our engineering team works from India, 1.5 hours ahead of the UAE, so we share almost the whole UAE working day.
How do you automate order-to-cash in NetSuite?
For US manufacturers and distributors on Oracle NetSuite, the agents work inside your NetSuite account and your inboxes, with no connector app to install and no new screen for your team. Emailed orders become sales orders, each proof of delivery is linked to its order and the invoice goes out on delivery, and bank lines are matched to your ledger every day. We build the same agents for teams on SAP, Microsoft Dynamics 365 and any other ERP you run.
Systems the agents work in
ERPs:
Focus, SAP Business One, SAP S/4HANA, Oracle NetSuite, Microsoft Dynamics 365, Zoho Books, Tally and any other ERP you run.
Where the documents come from:
your order inbox, carrier POD emails, remittance advices, bank statements and payment-gateway reports. We integrate with the tools you already use.
No migration and no new interface for your team. The agents work in the systems you already run.
Order-to-cash automation in production
Plastics manufacturer ยท US Midwest ยท Oracle NetSuite
A custom plastics manufacturer in the US Midwest runs order-to-cash on NetSuite. Carriers sent proof of delivery by email or on paper, and staff scanned each one into a separate database with no link to NetSuite. Billing had to search that database before every invoice, so invoices trailed deliveries by days and customers got their PODs only when they asked. Customer orders were keyed in by hand too.
We built two agents inside the client's NetSuite and email. The billing agent matches each proof of delivery to its sales order and sends the invoice with the POD attached as soon as delivery is confirmed. That cut 8 days from delivery to invoice and freed $40k of working capital. The order agent reads every emailed order and creates the sales order: 92% now post with no manual touch, and the customer service team has 12 hours a week back.
AI agents vs RPA vs AR software for order to cash: what's the difference?
RPA bots repeat fixed clicks and stop when a screen, a template or an exception changes. Accounts receivable software organises the work, but your team still does it. An AI agent reads the document, works out what it means, does the step in your ERP and sends only the exceptions to your team.

FAQ
Frequently asked questions
What is order-to-cash automation?
Order-to-cash automation replaces the manual steps between a customer's order and the cash landing in your account: entering the order, invoicing on delivery, following up payment and matching the payment to the invoice. With AI agents, that includes documents that arrive as emails, PDFs and scans in any layout.
